Google Data Disclosure

VayVix's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.


1. Overview

VayVix integrates with Google Workspace services to provide chatbot automation, calendar management, spreadsheet data operations, business review management, and location-based services. This page explains exactly what Google user data we access, why we access it, and how we protect it.

2. Google Services We Access

When you connect your Google account to VayVix, you choose which services to enable. We request access to the following Google APIs and scopes:

Google Sheets (spreadsheets scope)

We access your Google Sheets data to enable chatbot workflows that read from and write to spreadsheets. This allows you to use Google Sheets as a database for your chatbots — for example, storing customer responses, looking up product information, or logging conversation data.

  • Read data from spreadsheet ranges you specify.
  • Append new rows of data collected through chatbot conversations.
  • Update specific cells or ranges as part of automated workflows.
  • Clear data ranges when configured in your bot flows.
Google Drive (drive.readonly scope)

We request read-only access to Google Drive solely to list your Google Sheets spreadsheets so you can select which ones to use in your chatbot workflows. We do not read, download, or access any other files in your Drive.

  • List Google Sheets files for selection within the VayVix platform.
  • Retrieve spreadsheet metadata (sheet names, column headers) for configuration.
Google Calendar (calendar scope)

We access Google Calendar to enable chatbot workflows that create and manage calendar events. This is used for appointment scheduling, meeting reminders, and event automation.

  • Create new calendar events with details provided through chatbot conversations.
  • List upcoming events to check availability.
  • Update existing event details (time, description, attendees).
  • Delete events when requested through your workflows.
Google Business Profile (business.manage scope)

We access your Google Business Profile to help you manage customer reviews from the VayVix dashboard. This enables you to monitor, respond to, and analyze reviews across your business locations.

  • Fetch your business accounts and locations.
  • Retrieve customer reviews for your business locations.
  • Post replies to reviews that you compose in the VayVix dashboard.
  • Delete review replies when you choose to remove them.
  • Sync review data for sentiment analysis and reporting.
Google Maps (API key-based)

Google Maps integration uses an API key (not OAuth) and does not access any Google account data. It provides location services within chatbot flows.

  • Geocoding: Convert addresses to coordinates and vice versa.
  • Directions: Calculate routes between locations.
  • Place Search: Find businesses and points of interest.
User Profile (userinfo.email, userinfo.profile scopes)

We access your basic Google profile information to identify your connected account within VayVix.

  • Email address: Used to display which Google account is connected.
  • Profile name: Used for display purposes in the integrations settings.
3. How We Use Google Data

Google user data accessed through the above integrations is used exclusively for the following purposes:

  • To provide the core functionality of VayVix as described above — chatbot workflows, calendar automation, review management, and location services.
  • To display integration status and connected account information in your VayVix dashboard.
  • To refresh authentication tokens so your integrations remain connected without requiring repeated authorization.
4. How We Store Google Data

We store the minimum Google data necessary to operate the service:

  • OAuth Tokens: Your Google access token and refresh token are stored encrypted in our database. These are used to maintain your connection and make authorized API calls on your behalf.
  • Connected Email: We store the email address of your connected Google account for display purposes.
  • Feature Flags: We store which Google services you have authorized (Sheets, Calendar, Drive, Business Profile) to show correct status in your dashboard.
  • Google Business Reviews: When you use the review management feature, reviews are synced and cached in our database to enable search, filtering, and sentiment analysis.
  • We do NOT store copies of your spreadsheet data, calendar events, or Drive files beyond what is transiently processed during chatbot workflow execution.
5. Limited Use Compliance

VayVix's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only use Google data to provide and improve the core functionality of VayVix as described in this disclosure.
  • We do NOT transfer or sell Google user data to third parties, except as necessary to provide the service (e.g., the data passes through our hosting infrastructure).
  • We do NOT use Google user data for serving advertisements, including retargeting, personalized advertising, or interest-based advertising.
  • We do NOT use Google user data for any purpose unrelated to the core functionality of VayVix.
  • Human access to Google user data is limited to what is necessary for security purposes, to comply with applicable law, to respond to user support requests, or to maintain and improve the service. All access is subject to role-based access controls and audit logging.
6. Data Sharing

We do not share your Google data with any third parties except in the following limited circumstances:

  • Infrastructure Providers: Your data is processed through our hosting and database infrastructure (cloud servers) which are required to operate the service. These providers are contractually obligated to protect your data.
  • Legal Requirements: We may disclose data if required by law, regulation, or legal process.
  • With Your Consent: We will not share your Google data for any other purpose without your explicit consent.
7. Data Retention and Deletion

We retain Google-related data as follows:

  • OAuth tokens are retained as long as your Google account remains connected. When you disconnect your Google account, tokens are immediately deleted from our database.
  • Cached Google Business reviews are retained while your account is active and deleted within 90 days of account termination.
  • Transient data processed during chatbot workflows (e.g., spreadsheet reads, calendar queries) is not persisted beyond the workflow execution.
  • You can disconnect your Google account and revoke VayVix's access at any time from the Integrations settings page in your dashboard, or directly from your Google Account permissions at https://myaccount.google.com/permissions.
8. Security

We protect your Google data with the following measures:

  • All data is encrypted in transit using TLS/SSL.
  • OAuth tokens are stored encrypted at rest in our database.
  • Role-based access controls limit which team members can access integration settings.
  • We conduct regular security assessments and follow secure development practices.
  • Our infrastructure is hosted on industry-standard cloud providers with SOC 2 compliance.
9. Your Controls

You have full control over your Google data within VayVix:

  • Connect or Disconnect: You can connect or disconnect your Google account at any time from the Integrations page in your VayVix dashboard.
  • Feature Selection: You choose which Google services to enable (Sheets, Calendar, Business Profile).
  • Revoke Access: You can revoke VayVix's access to your Google account directly from your Google Account settings at https://myaccount.google.com/permissions.
  • Data Deletion: Upon disconnection or account termination, all stored Google tokens and cached data are deleted.
